Creating and Ordering People, Departments and Competencies
The most important asset in handling projects and processes is the "human capital" of the organization, i.e. its people. This is why people (and groups of people) are in the center of the Communigram: they are displayed as columns in the right-hand side of the Communigram.
People, also called "resources", may be grouped into an arborescence of workgroups, departments, sites, etc., thus enabling you to mirror the organization chart of your organizations and of other organizations you are working with. All resources are defined in a single location, so if you create several projects, the same people can participate in several projects at the same time.
To create new resources, open "Resources" from the "Enterprise" menu, or click on the "Resources" button on the left-hand side of your screen.

The following functions are available in this window:
- create new people ("New" button)
- add one or several people as a column to an open Communigram ("Add" button)
- delete a person from the organization ("Delete" button)
- reorder people and departments by dragging them with the mouse
- reorder people within their department to change their order in the Communigram (arrow buttons)
- change the name of a person and his e-mail address
- define a short name (this short name (ID) is shown in the Communigram, while the "long" version is displayed along with other information when you hover your mouse over the person's column
In the same way as people, competencies are defined. Competencies are used to plan deliverables independently of particular people. This allows e.g. planning the elaboration of a web site by a ?web programmer?, without knowing ahead of time who exactly will be the web programmer. Competencies can also be ordered hierarchically, just like resources. For example, there can be several types of "Engineer", such as a "Quality Engineer".
Each person can have one or several competencies. The main competency of each person can be defined directly in Communigram (see above). These competencies are used to plan a project by defining which type of resources are needed. They are later replaced with individual people.

Adding Columns to Communigram
You can add existing People and Competencies to the open Communigram by selecting them and clicking on the "Add" button.

Should you have added a person or competence by mistake to the Communigram, this is not a problem: unused competencies and people, i.e. columns without a dot, automatically disappear next time the Communigram is opened. Manual removal is not necessary.
Defining the Persons in charge and Participants
Depending on the deliverable, one or several people (resources) will need to participate in the work of each task. In Communigram, task participants are defined simply by double-clicking on the corresponding field in the right-hand side of the diagram. The options "Responsible", "Participant", "Is Informed", and "None" appear in a drop-down menu.
In decision points (milestones), only the options "Responsible", "Informed" and "None" are available. At project and subproject level, only the options "Responsible" und "None" are available.

Each person who needs to participate in the task needs be defined as a "Participant" by selecting the appropriate item in the pull-down menu. After doing so, a small dot appears in the corresponding column. When several people participate in the same task, a horizontal bar connects the dots to indicate the cooperation between these people.

Defining Responsibles
For every task, exactly one person must be defined as the "Responsible", i.e. the main "Supplier" of the deliverable. This is done by simply selecting "Responsible" in the pull-down menu.

Note: Only people can be made responsible for deliverables. "Responsible" will not appear when the column represents a "non-labor" resource such as a machine, building, etc., or if the column is a competency column.
The supplier of a deliverable is responsible for the elaboration of the deliverable, its documentation, and its transmission to all "clients" of the deliverable. This is indicated in the Communigram through an arrow that is always automatically drawn between responsibles.

Defining Passive Participants (Is Informed)
In some cases, it is important to keep certain people informed about the progress of a task, although they do not participate actively in the task. This is done using the option "Is Informed" in the pull-down menu. This gives the person read-only access to this deliverable via myCommunigram.
In the Communigram, such passive participants are indicated by small circles.
