What Deliverables do I need to produce, Who are my Partners, Suppliers and Clients?

The problem most companies have when implementing a project management solution is that they soon discover that the project plans that took so much time to create are not “alive”:

  • the project plan is not kept up to date and therefore soon becomes obsolete
  • the project plan is not applied: people do not work according to plan

Wouldn’t it be great, if by the push of a button, the communication flow defined in the Communigram would simply come to life? This is exactly what happens in “myCommunigram”. “myCommunigram” is the personalized Communigram in which each person gets his or her personal excerpt of all currently running projects in real time:

  • What are the Deliverables I need to produce? With Who do I need to work to produce them? Until when are they due?
  • What are the Deliverables I will receive, and what is their current status and documentation?
  • Who are the Clients of my Deliverables, what will my Deliverables be used for?
  • All Documentation I need is at my fingertips and up to date!
  • The system requests that I predict whether I will deliver on time by setting a traffic light
  • I receive all finished Deliverables automatically and the system requests I validate the Deliverables immediately so the project can go on

Thanks to Communigram, people organize their collaboration very easily. With just a few mouse-clicks, they have planned their work and defined the workflows so that every person gets the input they need automatically. For this reason, it makes a lot of sense for people to keep the Communigram up to date and we can achieve a situation of decentralized “LivingPlanning®”: the plan is kept alive by the people doing the work, and it is “lived” thanks to myCommunigram.

Who did What? When? Who Sent Which Information?  Who Got It? What Reactions?

To control the production of Deliverables as defined in Communigram, i.e. to ensure that this actually takes place as planned, it is important to have an overview of the status of information elaboration in real-time.

In Communigram, all information collected in the users’ myCommunigram views is united. By simply moving the mouse over the traffic light of the corresponding Deliverable, it is possible to see who produced which information, at what time the information was sent on to the “Clients” of the Deliverable, and what the reactions of the Clients were (accepted, rejected, and why). If all Clients accept the Deliverable, this is also immediately visible.

Will we be Late? Who is having Problems?

Based on our “Bilateral Control” methodology, myCommunigram users set traffic lights to indicate whether they will be available to deliver as planned. If not, these traffic lights are accompanied by a comment indicating why they are having difficulties, and they appear both in CommunigramPlanner and in the myCommunigram views of all concerned people. 

These traffic lights are regularly archived by the system, since it is very important to analyze how well difficulties are being addressed.

Another important indicator to evaluate real progress in the project is the rate of achievement of important and difficult tasks. To this end, each Deliverable is rated and the corresponding progress can be viewed in a diagram that compares currently planned progress and actual progress with a progress baseline.

When?

At any time, the project plan developed in Communigram can be viewed and edited using conventional project management tools. Indeed, the data collected via Communigram and myCommunigram is everything you need to draw up a Gantt chart, determine the critical path of the project, and even to calculate project effort and costs.
